How do I request coverage for a shift?

Creating a Swaportunity

Swaportunity is a featured supported through Viewer that allows a user to submit a request to swap their shift to multiple colleagues with the intention that one of them would be willing to accept the opportunity.

*Note: requesting coverage for a shift is the same process as requesting a trade, but you will select multiple providers to send the notification. 

You can quickly initiate a swap by right-clicking an assignment on the schedule and clicking REPLACE. A pop-up window opens. through the user window by clicking the User icon in the top right corner of the screen

In the REPLACE window, select the personnel for which you'd like to create a swaportunity. From here you can: 

  • Click the checkbox option at the bottom of the window to Select Many and then click the specific personnel you want. 
  • Click Select All Available.

Once your selections are made, click the checkmark in the upper-right side of the pop-up window to confirm your selections. The window closes.

In the REPLACE window, review your information and then click NEXT

Confirm the date, assignment, and personnel noted in the window, and then click SUBMIT

Once your swaportunity is submitted, it will display on the schedule with the swaportunity icon:

You can quickly view your swaportunities and other request statuses at a glance by clicking the user icon in the top right-hand corner of your screen. Use the arrows in the orange header next to the date range to view requests within other schedule dates. 

Note: Lightning Bolt will email each provider selected for the swaportunity letting them know you’ve requested they cover the assignment. They can accept or decline the request from the email or the user menu.
